Qualification by Written Location

The Qualification by Written Location feature allows Covered Entities to qualify electronically transmitted prescriptions based on where the doctor wrote the prescription at the hospital. This requires an all-new data feed. 



What is Written Location?

Written Location refers to the location within the facility where an electronic prescription was written/electronically transmitted and sent to retail pharmacies. This is different from the current Location field in the Patient Encounter file, which refers to the patient encounter or the Service location where the patient received care.

In some instances, Written Location and Location may be the same; however, they are not interchangeable. Macro Helix uses the Written Location field completely different from how the Location field is currently being used.

Clients wanting to use Written Location as a new way of qualifying retail prescriptions will need to set up a new data feed called an ePrescription (Written Location) feed, which must be provided by the covered entity, clinic or hospital. Macro Helix will use the data elements from the Written Location data feed along with other existing data feeds currently implemented to qualify retail prescriptions.

There are three specific qualification rules that are specific to Written Location: Rule 35, Rule 37 and Rule 40.

Rule 35 - Qualify by Written Location Only: If WL=N, the Rx will NOT qualify for 340B. No further testing is done to determine eligibility

Rule 37 - Qualify by Written Location as Other Match: Dx/NDC are included in WL testing. If WL = N, other rules in place will be used to determine eligibility.

Rule 40 - Qualify prescriptions using only Patient/MRN, Written Date, Written Location & Prescriber NPI/DEA : Dx/NDC are NOT included in WL testing. If WL = N, other rules in place will be used to determine eligibility.

 

Reports Related to Written Location

With the implementation of Written Location, there are a few helpful reports that the client can access.

To locate the new reports in 340B Architect, navigate to Reporting>Standard Reports>Select Report>All Reports>Admin Reports> Admin - Dispense with Written Location.

Admin – Disqualified with Written Location (488) – Displays disqualified prescriptions with Written Location information and is summarized by each Written Location

Admin – Qualified with Written Location (487) – Displays qualified prescriptions with Written Location information and is summarized by each Written Location

Admin – Savings by Written Location (485) – Displays qualified savings with Written Location information and is summarized by PID and Written Location

Qualified Prescriptions Report (26)  – Qualified Location and Order ID columns have been added to this report to reflect if a prescription qualified by Written Location

Retail Qualified Audit Report (Standard) (262) – Qualified Location and Order ID columns have been added to this report to reflect if a prescription qualified by Written Location
